The 5 steps to start a virtual assistant business

1. Focus on your offer
By now, you know you can offer hundreds of services as a VA. You can do everything from writing, emailing, calendar management, bookkeeping, marketing, social media, and more. Focus on the skills you have and enjoy doing. There is no reason to spread yourself too thin, especially at the beginning, when you have a lot to learn!
2. Set up your business the right way
When you are starting out, you need to decide how you will run your business. You can set it up as a sole proprietor. This is a fast and easy way and doesn’t require any special set-up. The only issue is that if anything happens to your business, you will put your personal asset at risk.
The other option is to set up an affordable LLC. This will protect your personal assets, like your home, if you ever get sued.
Before you start your business, you should seek professional advice to make sure you setting up your business the right way.
3. Create a website and social media presence
If you want to work remotely, you are going to have to sell yourself as an expert in online communication. The best way to do this is to create a website that shows what services you offer and your skills. Think about it as your “virtual” CV.
Your website will showcase what you can do to your potential clients, and it will play an important role in establishing your business.

Gina from Horkey Hand Book, a millennial mama to two precocious kiddos from Minnesota, is an awesome example of how you can set up a VA business!
A few years ago, she was working full-time in personal finance but was looking for a change. Within 6 months of working as a Virtual Assistant she was making $4,000 a month part-time while still having a job, and after 8 months she finally handed her notice and never looked back!
I asked Gina to share with us how she created an awesome lifestyle business that has given her the opportunity to do what she loves!

1. Why did you decide to start a business on the side, while working full-time?

I was the sole breadwinner as my husband had quit his job the year before to become a SAHD to our newborn and 1 1/2 year old. Fast forward a year and I wanted to do something different after about a decade in the financial services industry – I couldn’t up and quit and leave us penniless, so I started by side hustling in my “spare time” and socked the money I earned away. Within 6 months I was making $4,000 per month as a virtual assistant and freelance writer and decided to put in my notice. I’ve been working online full-time since then and am still the sole income earner for our household.

2. How long did it take you to quit your full-time job since becoming a VA?

I started looking into this wonderful world of online business and VA work on April 15th, 2014. My last day of employment was around Christmas’ time of that same year!
Technically I started my business in May, 2014, which means I had put in my notice within 8 months of starting!

3. What skills do you need to become a virtual assistant?

What I hear from clients over and over is that they’re looking for someone that’s:
  • Communicative
  • Highly-organized
  • A self-starter
  • And reliable
So while they’re looking for people that can provide specific services, they’re mainly looking for people with the above skills. As long as you’re trainable, you’ve got a shot!
It’s also really important that you able to plan and strategize. After all, you are going to have to find clients, prioritize tasks that will generate revenues and organize your day in the most efficient way to get as much as possible done in as little time as you can.
You also need to have a computer (desktop or laptop, doesn’t matter) and reliable internet. Don’t worry about having any fancy programs or applications – most clients will give you access to their cloud-based tools and software programs that you need to complete your work for them.

4. What is the average salary for a virtual assistant?

From the little research that exists, the average North American virtual assistant earns between $35-50 per hour.
This is going to depend on your experience, skill-set, and areas of expertise.
The more specialized your services and the more experience you have, the more you can charge.
I’ve seen people in our community charge as little as $15 per hour and others earn more than $100 per hour (including myself). Ultimately it comes down to being really good at what you do and finding clients that value what you’re offering them.
How quickly you start earning honestly depends on how quickly (and frequently) you start putting yourself out there for hire.
In my opinion, contracting and working virtually is the way of the future.
People (clients and virtual assistants alike) crave increased flexibility. And what better way to obtain it than to build a business and/or team virtually?
Clients (typically small business owners, entrepreneurs, etc.) aren’t always looking to manage people or take on full-time help. Instead, they’d like to contract out for specific services they need help with. It makes it a win/win for both parties!
This gives you the opportunity to charge per job and not per hour, which can give you a much higher profit.

5. What’s the best thing about being a VA?

Do I have to list just one? 😉
Here are my top 3:
  • I control my schedule and can work when and from wherever I want.
  • I’ve met and worked with the most interesting people – one of my clients just included me on a team trip to Prague last month!
  • I’ve learned SO many new skills – if I ever wanted to go back to Corporate America (I don’t!), I could probably get hired by virtually any marketing department based on my current experience.

6. What is your number one piece of advice for someone who wants to learn how to become a virtual assistant?

You’ll never know what you’re capable of if you never try.
Don’t think about what the worst case scenario could be – instead think about what’s the BEST POSSIBLE OUTCOME that can come from trying something new?

Packing used to be one of my worst nightmares. There is never enough time, and you always end up throwing things together the night before your flight.
Let me tell you what I learned:
Preparation is key! Once you master that, everything becomes easier, and packing won’t be so stressful anymore.
Avoid these common mistakes to ensure you are packing to perfection for your next vacation!
Here they are:

1. Overpacking

This is by far the most common mistake everyone makes (yes, myself included, but I am learning…). You need to think about what you are really going to use and wear.
If you only wear that pair of jeans at home, why would you bring another 10 pairs of trousers you haven’t used for the last 3 years?

2. Not making a packing list

Making a list has completely changed the way I pack for holidays.
I used to think I could remember everything, but there are so many little things to keep in mind: chargers, toothbrush, underwear, socks…
Make a packing list and start writing it a few weeks before your trip. You can then save it and re-use it for future trips. I have a list for summer vacation, one for short weekends and one for winter breaks.

3. Not checking the weather

There is nothing worse than having a bag full of the wrong clothes! Remember to check the weather before you start packing. It also helps to always pack a rain jacket with a mix of clothes that can be layered if necessary.

4. Fold, don’t roll

Rolling your clothes has been the suggested way to go for a while. But by rolling, you get lots more wrinkles, and you are not actually saving any space.
You need to fold your clothes, the Marie Kondo way. I swear you will save space!
I also love using packing cubes to organize and separate all my stuff into categories. You can easily identify which cube contains what and keep everything in order. Packing cubes also help to compress your clothes, and when you remove them from your bag, you don’t make a complete mess while trying to find the right t-shirt!

5. Packing shoes incorrectly

Make sure you put your shoes (and any heavy item) at the bottom of your luggage. Also make sure you always put shoes in shoe bags, to avoid any dirt getting on your clean clothes. If you don’t have shoe bags, a plastic bag will be fine.

6. Not bringing  a swimsuit

Swimming suits don’t take much space, and it’s always a good idea to bring one. You never know, you might find a jacuzzi or a pool you weren’t expecting.

7. Waiting until the last minute

If you wait until the last minute to pack, you won’t have much time for planning. Make sure you start thinking in advance about what you will need, what clothes you’ll be wearing and what shoes you’ll need to pack. This will help you avoid any unnecessary stress.

8. Only packing light colors

As much as light colors are nice, especially if you are going for a summer holiday, they show dirt and wear much more than darker colored items. Make sure you pack some darker clothes, in case of a last minute laundry emergency.

9. Forgetting a Laundry Bag

We always fill our luggage with dirty clothes on the way back, but inevitably some pieces will still be clean. A laundry bag or even a grocery bag will help to keep dirty and clean clothes separate and make unpacking easier at home.

The sweetness of the roasted squash, the saltiness of the feta cheese and the punchiness of wild rocket create the perfect combination. 
Pumpkin seeds help with a bit of crunchiness, and capers remind me a bit of the summer just gone.
It’s a great salad to eat on its own, and it perfect as a meal prep idea too! Just remember to add the dressing at the last minute.
I also love adding smoked paprika. It has a warming but palatable heat with a complex depth and it goes amazingly well with the saltiness of the crumbled feta.

Ingredients
  • 1 medium butternut squash
  • 1 cup 165g cooked chickpeas
  • A handful of wild rocket
  • ½ teaspoon smoked paprika
  • 1 tablespoon capers
  • 1 tablespoon pumpkin seeds
  • 3.5 oz (100g) feta cheese, crumbled
  • A drizzle of extra virgin olive oil
  • A drizzle of balsamic vinegar
  • A pinch of sea salt
  • A pinch of black pepper
Directions
  1. Preheat the oven to 350°F (180°C). 
  2. Cut the squash in half and scoop out the seeds, then cut into cubes. Toss the butternut squash with olive oil, sprinkle with sea salt, smoked paprika, and add a pinch of black pepper. 
  3. Place the squash on a baking sheet lined with parchment paper. After 10 minutes add the chickpeas. Roast until tender for 25-30 minutes.
  4. While the squash and chickpeas are roasting, wash the rocket and finely chop the capers.
  5. Once the butternut squash and chickpeas have finished roasting, remove from the oven and let them cool for 10 minutes. Place in a bowl, add the rocket, the crumbled feta cheese, and the chopped capers.
  6. Toss with a drizzle of extra virgin olive oil, balsamic vinegar, a pinch of salt and pumpkin seeds. Serve while still warm.

There are 2 companies that I love and are perfect if you want to teach English online:

If You DO NOT Have A Bachelor’s Degree

If you don’t have a Bachelor’s degree, but you are a US or Canadian native speaker, Magic Ears will be perfect for you!
Magic Ears is based in Beijing, China, and hires English speakers from America and Canada. You will teach English to Chinese children between the age of 5 to 12 and will be able to earn up to $26 per hour ($13 per half an hour) with payments made every 10th working day of the month.
To become a teacher, you will need to have an ESOL certification and online or offline teaching experience.

To become a teacher, you need to be eligible to work in the US or Canada, you need to have one year of teaching experience (traditional education or mentoring, tutoring or alternative education) and a Bachelor’s degree in any field.

So, I have to be honest here, surveys aren’t what I consider one of the best ways to make extra money, especially if you need money fast.
Issues I have with surveys:
  • It takes a lot of time to make any significant amount of money
  • You might waste time applying for surveys and end up not being qualified
  • Some surveys website have a high threshold payment, and you might never get there!
  • Some surveys website are a scam
Good things about surveys:
  • You can do them while you are doing mindless tasks, like watching Netflix, waiting for a flight, or riding the train to work.
  • They are free to join so you have nothing to lose!
TIPS
  • Join as many survey website as you can and try them out to see which one works for you. All the websites listed below are legit, but you might not qualify for some, so make sure you try them out!
